    Volunteer Supervisor

     

    Description:

    The CASA-EP Volunteer Supervisor’s primary responsibilities are to provide supervision, guidance and support to Court Appointed Special Advocates assigned by ensuring compliance with established regulations and best practices. Initiates required correspondence related to cases, maintains case records and volunteer files, and compiles information to prepare reports. Participates in pre-service training and monthly in-service trainings.

    Role and Responsibilities

    Volunteer Supervision
    • Supervise up to 25 volunteers and their child abuse and neglect cases.
    • Evaluate cases and assign volunteers based on interest, time, skills, and experience to ensure the best outcome for the child(ren.)
    • Work with volunteers in developing a case plan and monitor progress on achieving the goals of the plan.
    • Provide supervision and guidance while monitoring volunteers’ performance on issues of confidentiality, policy, boundaries, and relationships with other professionals.
    • Monitor and evaluate each volunteer’s investigative and advocacy work to ensure that each child in the program receives the highest quality services.
    • Review and edit court reports to ensure they are in accordance with established guidelines and criteria, and that they are accurate, goal directed, and submitted in a timely manner.

    • Accompany volunteers to court hearings, meetings or visits as needed or, if required, attend in volunteers’ place and/or make appropriate arrangements in volunteers’ absence.
    • Ensure that each volunteer completes the required contact hours with their assigned  children and in-service hours for continuing education.
    • Coach and retain volunteers; complete an annual performance evaluation for assigned volunteer.
    • Maintain relationships with all professionals involved in the case to ensure quality of outcomes and a positive reputation in the community.

    Training & Outreach
    • Support volunteer orientations and programs, including scheduling, preparing materials, PowerPoint updates and application follow-up.
    • Participate in volunteer training and continuing education programs as directed.
    • Submit documentation for required background checks for volunteers to the CASA Program.
    • Participate in public relations and community education events to increase the community’s awareness of CASA and child welfare issues by serving on community task force(s) aimed at improving the lives of children in the community.

    Data Entry & Record Keeping
    • Support CASA-EP in maintaining compliance with National standards; including records and case files of active cases.
    • Enter case information in Optima database and ensure that files are current.
    • Maintain volunteers’ personnel files. Enter volunteer information including case history, performance evaluations, status updates, changes in personal information, and other relevant information in the database.
    • Compile volunteers’ case hours, visits, and contacts, and prepare monthly reports.

    Other
    • Assist in organizing and implementing pre-service training for new CASA volunteers. Help with topic identification, speaker recruitment and implementation of monthly in-service opportunities.
    • Assist with volunteer retention efforts.
    • Support volunteer engagement and donor/contributor recruitment/cultivation across the organization.
    • Represent CASA in a professional manner.
    • Perform other duties as assigned.

    Preferred Qualifications
    • B.A. or B.S.
    • Strong oral communications skills.
    • Knowledge and experience in professional and/or volunteer staff supervision.
    • Background in social work, paralegal/court services or teaching desired.
    • Ability to establish and maintain a rapport with volunteers to ensure they remain motivated, committed, and to promote retention.
    • Cultural sensitivity
    • Desire and ability to act as a dedicated team member.
    • Demonstrated writing excellence.
    • Analytical skills and good judgment.
    • Computer proficiency and online database experience.
    • Availability to work flexible evening and weekend hours as needed.
    • Access to a personal vehicle and the ability to drive to various communities in the Eastern Panhandle of West Virginia to perform job duties required.
